Planner Location: Food Alert Office/Flexible Remote.Working hours: 37.5 hours Reporting to: Planning Manager Purpose of the role * To co-ordinate and plan consultant diaries * To manage and co-ordinate Group client audit scheduling Key duties, responsibilities and objectives * To manage designated Consultant diaries.* Booking audits, whether announced or unannounced to the client in designated Consultant diaries, ensuring that billable targets are consistently achieved. * Booking of set-up visits and/or other reactive visits to client premises such as AFP investigations, consultancy support etc. * Co-ordinating the management of group client audit scheduling, ensuring that all audits are booked within agreed calendar dates. * Amending or adjusting diary entries as and when required to meet Client or Consultant requirements. * Developing a good working relationship with designated Consultants and liaising with them to ensure that diaries are appropriately and suitably managed. * Advising the Planning Manager/Operations Director of any no-show or no-access events for their dedicated Consultants. * Working as a team player within the Planning Team, assisting other members of the team on an as and when required basis, including providing cover for other Planning Team members during periods of annual leave/sickness. * Monitoring the Planning Inbox and responding to client queries within a timely manner as detailed in Planning Procedures. * Following Planning Team operational procedures at all times. Requirements  Key responsibilities of the Works Planner for Environmental Services include: To assist in the provision of Together Housings Environmental Services, responding to customer queries liaising with operational teams to delivery works. Manage the efficient and appropriate allocation of resources through the dynamic scheduling system. Allocate appointments to appropriate teams/ operatives, taking account of priority, material/plant requirements, location and existing workloads. Ensuring that works are carried out in the correct sequence making the most efficient use of the available resources to meet target completion dates. Monitor the progress of the workforce emerging day and operative's daily workloads, re-scheduling maintenance as necessary to ensure the satisfactory completion of all works within target completion times and dates, meeting customer expectations. Take action as required on the progress and scheduling of planned and adhoc maintenance because of bad weather, travel problems or priorities, ensuring that all customers are kept informed. Inform customers of appointment and follow on work details, ensuring that satisfactory arrangements are made for access to properties and ensuring residents are kept informed of progress. Maintain clear and up to date records of all scheduled appointments/works and changes to scheduling, including contact with all customers. Develop and maintain strong working relationships and clear lines of communication with operatives and supervisors, identifying potential problems and working in a collaborative manner to resolve resource issues and maximise efficiencies.
